Presentation preparation and upload instructions

These instructions apply to presenters in oral sessions, pitch sessions and workshops at the 19th European Public Health Conference.

Presentations must be uploaded in advance and will be made available through the conference presentation system in the session rooms.

Personal laptops cannot be used for presentations in the session rooms.

Upload your presentation

Please upload the final version of your presentation as early as possible.

Check your presentation format and speaking time

Before preparing your presentation, check the online programme carefully and confirm your session, presentation format and allocated speaking time.

Your presentation must remain within the time allocated in the programme. Session chairs are responsible for keeping sessions on schedule, so please rehearse your presentation in advance and make sure it fits comfortably within your speaking time.

 

Oral presentations

Oral sessions are 60 minutes and contain a maximum of five presentations.

Each oral presentation is allocated 8 minutes.

For an 8-minute presentation, approximately 8 slides and a maximum of around 10 slides is recommended.

 


Pitch presentations

Pitch sessions are 60 minutes and contain a maximum of eight presentations.

Each pitch is allocated 5 minutes.

Pitch presentations may contain a maximum of 5 slides, including opening and closing slides.

 


Workshops

Workshops are 60-minute sessions.

Workshop organisers are responsible for determining how the available time is divided between presentations, discussion and audience interaction.

Please coordinate the presentations within your workshop in advance and ensure that the complete workshop remains within the allocated 60 minutes.

Technical requirements

Please prepare your slides according to the following specifications:

  • use 16:9 widescreen format;
  • accepted presentation formats are Microsoft PowerPoint and PDF;
  • Apple Keynote and Prezi are not supported;
  • avoid uncommon or external fonts that may not be available on the presentation computers;
  • use sufficient contrast between text and background;
  • use text that is large enough to be clearly readable;
  • keep slides concise and avoid overcrowding;
  • insert special characters using the Symbol function in your presentation software.

Presentations created on a Mac may display differently on the Windows-based conference system, so please check your presentation carefully.

Preparing an effective presentation

Keep your presentation focused on the key information you want the audience to remember.

We recommend that you:

  • focus on a limited number of clear key messages;
  • avoid unnecessary jargon and overly technical language;
  • use clear graphs, charts and visualisations rather than large or complex tables;
  • keep text on slides concise;
  • use a consistent layout throughout your presentation;
  • rehearse several times before the conference;
  • check that the full presentation fits within your allocated speaking time.

Preparing your file for upload

Upload your presentation through the conference presentation system before the deadline.

As a backup, we recommend bringing a copy of your final presentation on a Windows-compatible USB memory stick or USB hard drive.

If you created your presentation on a Mac, please pay particular attention to fonts, formatting and slide layout before uploading.

In the session room

Your uploaded presentation will be available through the conference presentation system in your assigned session room.

At the lectern, you will use the provided controls to move through your slides. A monitor will show the current slide and the mouse can be used to point to content.

Please note:

  • personal laptops cannot be used;
  • Presenter View is not supported;
  • the version available through the conference system should therefore be your final presentation.

 

Before you upload

  • My presentation is in 16:9 format.
  • My file is PowerPoint or PDF.
  • I have checked all fonts, images and graphics.
  • My slides are clearly readable.
  • My presentation fits within my allocated speaking time.
  • I have checked the programme for the correct session and time.
  • I am uploading the final version of my presentation.
  • I have kept a backup copy of my file.
