EPH Conference FAQs

Is there a possibility to join the conference online?

No, it is an in-person conference. It is not possible to attend the conference online.

I paid by bank transfer, but my registration account is still open.

Payments received by bank transfer are not automatically added to your registration. They need to be processed and added to your registration manually. This process may take about a few working days, depending on when the payment is received. Please note that because of the holiday season this takes a little longer in July and August. Once payment has been added to your registration account, you will receive a notification by email.

How can I add a PO number or VAT number to the invoice?

Please make sure you have all the information before registration, fill in PO numbers in the reference field. Submit your registration details. If you are already registered, request for a new invoice at registration@ephconference.eu.

Is it possible to pay by credit card?

At the end of the registration you have the choice to be pay by credit card (payment is done immediately) or by invoice (payment has to be done within 14 days). You can also request for a direct payment link by sending an email to registration@ephconference.eu after registration. We are not able to charge from a credit card (by telephone).

Is it possible to receive a group invoice?

Yes, it is possible to receive a group invoice. Please send the names and registration numbers to registration@ephconference.eu to receive a combined invoice.

Can I ask my employer to pay the invoice?

We strongly recommend that you register and pay yourself and reclaim the registration fee, as well as any travel and accommodation costs, from your employer. In principle we do not provide a service to your employer but to you, who wants to attend the EPH Conference. Registration and payment are therefore the responsibility of the delegate.

I am already registered, how can I add a pre-conference to my registration?

Pre-conferences can  be added to your registration by sending the pre-conference of your preference in an email to registration@ephconference.eu.  You will receive an adjusted invoice by email.

My institution will pay my conference fees, how do I proceed?

During the registration process you can fill in the invoice details and by choosing 'payment by bank transfer' at the end of the registration process an automatically generated invoice is sent by email. All the payment details are on this invoice. Please note: payment needs to be done within 14 days after registration.

I need an invitation letter for my visa application, how do I proceed?

You can find more information here.

Are there any group discounts?

A discount of 10% on all main conference fees is applicable for groups as of 15 delegates. You may contact registration@ephconference.eu

My institution is VAT Exempt, how do I proceed?

Unfortunately, we cannot provide you with an invoice exclusive of VAT. VAT is charged in the host country of the conference and EPH Conference is obliged to pay VAT on every registered delegate. Intracommunity EU reverse charges are not applicable in this case.

I am EUPHA member but during my registration it is indicated I am not a member.

Please contact membership@eupha.org on this issue. If you are an employee of one of EUPHA's Institutional Members and have just set up a personal account, then membership is not added automatically. This has to be done manually. In order not to pay the full fees, please choose 'payment by bank transfer' at the end of the registration process. Once the issue is solved, you will receive an adjusted invoice for payment by either credit card or bank transfer.

What kind of proof do I need for a student registration?

You need to send to us a letter from your university or any other document that confirms a full-time student status. You can upload this during the registration.
